Assistant to Executive Director

Job Description

Position: Assistant to Executive Director

Qualifications:

1. High School Diploma
2. Working knowledge of WordPerfect and various database systems
3. Excellent verbal and written communication skills
4. Ability to work independently

Pay Range
: $25,000-$35,000 per year

General Description:

The Assistant to Executive Director will perform a variety of administrative and office tasks in support of the Executive Director.

Responsibilities:

1. Assisting in maintaining the company’s computer network.

2. Maintaining the Supply Database and approving/ordering monthly supplies for all locations.

3. Delivering all in state background checks to the WVSP headquarters in So. Charleston daily if needed. Maintaining spreadsheet with submitted/returned dates.

4. Processing Out of State backgrounds online.

5. Invoicing for Contract Services such as SNS.

6. Reviewing receipts from all locations to make sure they match requisitions.

7. Maintaining all Behavioral Health License and Fire Marshall Inspection Reports and making sure these are both kept up to date.

8. Preparing monthly IRC and MTM Minutes.

9. Scheduling a meeting location for NVCI training and taking attendance.

10. Keeping up with Executive Director’s weekly schedule and sending him daily reminders.

11. Hotel reservations for traveling PAIS, Inc. staff (Must get ED’s approval).

12. Maintaining pagers.

13. Requesting AMAP and HRC checks from Business Manager and mailing them to correct locations.

14. Maintaining office equipment in all PAIS, Inc. locations, including phone lines and network cables.

15. Faxing monthly Chapman orders from supply requisitions.

16. Filing Staff Injury Reports as they are faxed in from all PAIS, Inc. locations.

17. Placing professional employment newspaper ads.

18. Develop and maintain PAIS, Inc. website.

19. Setting up new employee email and computer login accounts.

20. Maintain files for various paperwork for Executive Director.

21. Other duties as assigned by Executive Director.
